Travel can be thrilling, but it comes with unpredictability. From flight cancellations to severe weather and software outages (ahem - Crowdstrike), unexpected events can turn a dream trip into an incredible nightmare. Here’s a guide on managing travel disruptions beyond your control.


1. Stay Informed and Updated


Before You Travel:

  • Research Your Destination: Be aware of weather patterns and other factors, i.e. - is it hurricane season in The Caribbean or winter in the north where it’s prone to blizzards?

  • Sign Up for Alerts: Register for updates from airlines, government websites and travel agencies to stay up to date on any developing issues. 


During Travel:

  • Monitor News: Keep an eye on local news and social media for updates.

  • Download Apps: Use airline and travel apps for real-time information. Gate changes and delays are often noted in the apps before the announcement comes overhead in the airport. 


2. Have a Backup Plan


For Flights:

  • Know Your Options: Familiarize yourself with alternate routes and airlines. If you see an issue happening, start looking at alternatives immediately, you might beat the crowd. For example, under certain circumstances, if your flight is changed significantly, you can rebook any flight for free, no matter the fare difference.

  • Understand Your Rights: Research airline policies on cancellations and delays. There’s lots of information out on the internet, some good and some bad. Confirm this on the official websites of your airline or government agencies.



For Accommodation:

  • Flexible Booking: Book accommodations with free cancellation options. Many hotels can be canceled up to 24 hours before travel. 

  • Alternative Lodging: Identify backup lodging options and keep their contact information handy. 


3. Pack Smartly


Essentials to Include:

  • Important Documents: Keep copies of your passport, travel insurance, and tickets both physically and digitally.

  • Emergency Kit: Pack essential medications, a change of clothes, snacks, a phone charger, and basic toiletries in a carry on.

4. Maintain a Positive Attitude


Stay Calm: Manage anxiety by staying calm and taking deep breaths. Remember, oftentimes these things are far beyond the control of anyone you speak to and certainly beyond your control. Advocate for yourself, but try to maintain your patience and composure. 

Be Polite: Approach airline and hotel staff with patience and politeness. Remember, whatever the problem is probably also caught them off guard, it’s likely not their fault and they don’t have to navigate these issues every day. Be kind.


5. Leverage Technology


Stay Connected: Keep devices charged and have access to Wi-Fi or mobile data. Bring portable chargers and cords with you instead of in your packed luggage. 

Use Travel Apps: Make sure you have your airline and hotel’s apps downloaded to your phone along with your boarding passes and reservation information. Additionally, apps like TripIt and Skyscanner can help manage your itinerary and find alternate flights.


6. Know How to Seek Help


Travel Insurance: Ensure you have comprehensive travel insurance and know the process for filing claims. You may have to pay for things upfront and file claims for reimbursement. Get PHYSICAL AND EMAILED RECEIPTS for every transaction or change you make to support your claims.

Customer Service: Have contact information for your airline, travel agency, and insurance company readily accessible. Be sure to have reservation/confirmation numbers handy.


7. Adapt and Improvise


Be Flexible: Be open to altering your plans as needed. This may look like extending your stay at a hotel, changing hotels, renting a car, diverting through different airports, etc. Be sure you have a credit card (with some room on it), ID and again, KEEP YOUR RECEIPTS for insurance claims.

Make the Best of It: Take the time to explore local attractions or just relax if stuck in an unexpected location.
